But beneath this promise lies a structural imbalance.

Today’s leading AI systems—ChatGPT, Gemini, Claude, Llama—are not truly global intelligences. They are English-first systems with multilingual capabilities layered on top. And this distinction has real consequences for how knowledge is created, accessed, and trusted.

AI Doesn’t Just Speak English—It Thinks in It

Modern AI models are trained on internet-scale data, where English dominates. Around 50–55% of web content is in English, according to W3Techs [1], far exceeding its share of the global population of speakers. Large multilingual datasets, such as mC4, and models like mT5 also exhibit a strong skew toward English tokens [2].

The mC4 dataset, a multilingual variant of Google’s C4 corpus that includes text in 108 languages, demonstrates the scale of this disparity. While the dataset represents a significant effort toward multilingual inclusion, the token distribution reveals the depth of language inequality in AI training. English dominates with 2,733 billion tokens, while many other languages receive dramatically smaller allocations. For perspective, languages like Icelandic receive only 2.6 billion tokens despite serving 350,000 native speakers, while Telugu, spoken by 83 million people, has just 1.3 billion tokens. [15]

As a result, even when users ask questions in Hindi, German, or Spanish, models often rely on English-heavy representations and sources during processing.

Invisible to AI: The Emerging Content Crisis in Hospitality

Hotels Don’t Have a Marketing Problem. It verifies entities.

When someone searches for “business hotel with 5 meeting rooms and valet parking,” AI assembles structured data from schema, OTA feeds, and knowledge graphs. If your data is fragmented across PMS, CRS, website, and distribution channels, you’re not ranked lower — you’re excluded.

This is the new visibility challenge: confidence and consistency.

AI systems prioritize properties with structured, synchronized, machine-readable truth. Travel managers hear it and think volatility. Finance teams hear it and think loss of control. But here’s the uncomfortable truth:

Dynamic pricing has always existed in corporate hotels. We just didn’t call it that.

What’s changed isn’t pricing behavior. What’s changed is speed, visibility, and expectations.

Corporate hotel rates were never truly “fixed”

For years, corporate travel operated on a comforting assumption: negotiate an annual rate, load it into the system, and assume predictability.

In reality:

LRA never guaranteed availability

BAR leakage always happened

Last-room availability often disappeared when you needed it most

Long stays quietly broke rate logic

Pricing was already dynamic — it was just opaque.

The industry tolerated this because the changes were slow and hard to measure. That illusion no longer holds.

Hotels price dynamically because they have to

Hotel economics are intensely local and highly perishable.

Rates change based on:

Day-of-week compression

Length of stay

Group displacement risk

Local demand spikes

Inventory mix (especially extended stays)

From a hotel’s perspective, static corporate pricing is a blunt instrument. It ignores demand signals that materially affect revenue decisions.

Expecting hotels to abandon dynamic pricing is unrealistic.
The real question is whether corporate travel is equipped to manage it.

The real risk isn’t dynamic pricing — it’s unmanaged dynamics

Dynamic pricing becomes a problem when:

Forecasting is weak

Re-shopping doesn’t happen

Guardrails don’t exist

Finance only sees overruns after the fact

That’s when conversations turn defensive.

Extended stay exposes the cracks faster

This is most visible in project and extended-stay travel.

30 nights

50 travelers

Multiple locations

Suddenly, you’re explaining six-figure overruns with no clear narrative.

What corporate travel actually needs

The answer isn’t fighting dynamic pricing.

Better demand forecasting

Rate guardrails tied to stay patterns, not just nightly caps

Continuous re-shopping for longer stays

Transparent reporting that finance teams can trust

When pricing dynamics are visible and explainable, they stop being scary.

A shift in mindset

Dynamic pricing isn’t a threat to corporate travel programs.

Editor’s note:

This post was originally published on Rajeev Goswami’s personal blog.

It is republished here on the WWStay blog because the ideas directly impact how corporate travel, accommodation sourcing, and spend predictability are evolving.

At WWStay, we work closely with corporate travel managers and project teams who are navigating volatile hotel pricing, shrinking RFP relevance, and increasing pressure to keep average nightly rates within predictable ranges.

The perspective below reflects patterns we see daily—where better forecasting and planning outperform static rate negotiations.

Amazon vs With the rise of Model Context Protocol (MCP) and agentic AI assistants like ChatGPT and Gemini, hotel bookings are becoming a truly conversational, seamless experience. But as this technology matures, it threatens the traditional dominance of OTAs—and opens unprecedented opportunities for hotels to win direct bookings.

Why MCP Changes the Rules:

MCP is an open protocol that lets AI assistants instantly access live hotel and travel data, transact bookings, and fulfill complex guest requests. It bridges the gap between guest intent and hotel fulfillment, sidelining the “middleman” platform in many cases.

Instead of searching Google, clicking on an OTA, and hoping for a good match, travelers can simply ask an AI agent for the best hotel for their needs—and complete the booking in one conversation.

The Impact on OTA Brands:

OTAs like Expedia gained brand dominance through aggregating access and marketing muscle. But with MCP, the AI assistant—not the OTA—initiates and manages search, comparison, and transaction.

The booking channel becomes invisible to the traveler, who may not care how their reservation is fulfilled—only that it meets their needs.

This poses a challenge for OTA brand awareness: If they don’t innovate, their presence shrinks to being anonymous inventory providers, losing direct customer attention.

Discovering Hotels in the New World:

Hotel discovery, once controlled by Google SEO and branded ads, is rapidly shifting to Generative Engine Optimization (GEO): making sure MCP data is rich, real-time, and AI-readable.

Hotels that optimize their MCP data—detailing amenities, loyalty perks, real guest sentiment—will surface higher in AI recommendations.

Hotel selection moves from advertising-driven to context-driven, favoring properties that best fit each traveler’s unique request.

How Will OTAs Respond?

OTAs are moving quickly to integrate MCP into their systems, ensuring their inventory and loyalty programs are accessible to AI agents.

Expect more native OTA “skills” and “plug-ins”—special content, exclusive deals, and powerful loyalty schemes only available on certain agents.

Major OTAs may double down on technology, partnerships, and unique content, investing even more in backend integration and dynamic personalization.

Are Hotels Ready to Break Free?

Many hotels are only just beginning to deploy MCP servers and create machine-readable, structured content for direct AI discovery.

Early adopters are already seeing benefits—higher margin direct bookings, deeper personalization, and real-time guest service.

However, legacy systems, data complexity, and lack of technical expertise remain major barriers for many properties.

Hotels must act now—upgrading both mindset and tech stack—to seize the agentic AI opportunity before OTAs entrench themselves in the new ecosystem.

Final Thought:

The future of travel bookings will be defined by those who leverage MCP and agentic AI, whether OTAs or hotels. The playing field is leveling—but only for organizations willing to move fast, embrace change, and serve guests on their terms.

Are you ready to be discovered in the AI-first travel world—or will you be left out of the conversation?

References

How MCP Could Reshape Travel
PhocusWire, 2025
A and Perplexity are rapidly becoming the primary booking interfaces in travel. They merge conversation, personalization, and automation—threatening to disrupt traditional OTA dominance and redefine relationships among hotels, TMCs, and corporate travel programs.

OTAs are embedding themselves into these AI ecosystems, ensuring they remain visible and influential in how travelers book. For travel managers, this means a future where algorithms—not suppliers—may control visibility, rates, and compliance.

The next three years (2025–2028) will be pivotal. Travel programs that adapt early will lead on efficiency, cost transparency, and traveler satisfaction.

AI Assistants: The New Interface for Travel Booking

AI assistants are evolving into the front door of travel. They remember traveler preferences, compare across suppliers, and can execute bookings within seconds.

The result? Frictionless booking journeys that bypass traditional OTA screens altogether.

“Book me a 3-night stay in Chicago under $250, near the office.”

— This one sentence replaces hours of browsing.

For travel managers: this means policies and visibility must adapt to conversational, decentralized booking.

🟢 Tip: Begin tracking how employees use AI tools. Establish governance guidelines before leakage grows.

OTAs Fight Back: Embedding in AI Ecosystems

OTAs like Booking.com and Expedia are forging partnerships with AI platforms to ensure they’re built into tools like ChatGPT and Gemini.

This means that even as travelers use AI, OTAs still control the inventory and take commissions.

But this embedding strategy also creates digital gatekeepers — algorithms that determine hotel visibility, pricing, and even which brands appear in conversation.

🟢 Travel Manager Tip: Choose partners who disclose how their listings integrate with AI systems. Demand transparency in ranking and rate sourcing.

Hotels Under Pressure: The Visibility Challenge

For hotels, AI-driven distribution is a double-edged sword:

More exposure through new AI channels

But higher dependency on intermediaries

Key risks:

OTA-aligned algorithms could favor big brands.

Direct channels lose prominence.

Guest data and relationships erode.

🟢 Hotel Strategy Tip:

Invest in AI-compatible APIs and CRM systems.

Advocate for fair algorithmic visibility under digital market regulations.

TMCs: From Agents to AI Ecosystem Managers

AI’s automation threatens the traditional role of TMCs—but also opens new opportunities.

Leading TMCs like Amex GBT and BCD Travel are investing in AI copilots that automate policy enforcement, risk management, and predictive insights.

🟢 Travel Manager Tip:

Select TMC partners that:

Integrate with leading AI ecosystems

Provide policy compliance analytics in real time

Offer visibility into how their AI tools manage bookings

The 2026–2028 Outlook: AI vs. OTAs

Experts predict that by 2026–2028, AI assistants will begin bypassing OTAs—directly connecting with hotels via open APIs.

This will reduce commissions but heighten competition for visibility.

Key drivers:

Cost pressure to eliminate intermediaries

Rapid tech adoption by hotel chains

Traveler demand for fair, bias-free recommendations

However, fragmentation in hotel systems means full disintermediation will take time. Expect a hybrid phase—AI still using OTAs as partial data sources until standards evolve.

Text within this block will maintain its original spacing when published
🧭 Alternate View: Why AI May Stay an Intermediary

Not everyone agrees that AI assistants will own the entire booking journey.

There’s a compelling case that platforms like ChatGPT, Gemini, and future AI tools may choose not to manage direct bookings — even if they could.

Handling bookings introduces real-world complexity: payments, cancellations, refunds, and customer service — all outside the core model of AI providers focused on intelligence and interface design.

A good comparison is Google’s path in the 2010s.

Despite controlling most travel search traffic, Google never became a full OTA. Instead, it monetized visibility — letting OTAs and hotels handle transactions. The reason was simple: travel booking operations didn’t align with Google’s scale-efficient model.

AI assistants might follow the same logic, staying as orchestrators rather than operators.

If that happens, the power shift won’t be about who processes bookings — but about who controls visibility and influence inside the algorithm.

The Travel Manager Playbook

In this new landscape, inaction is the biggest risk.

Top 5 Actions for 2025:

Monitor AI adoption among travelers and suppliers.

Audit your hotel program visibility in AI-driven search results.

Align with forward-thinking TMCs that embrace automation.

Demand algorithmic transparency from all suppliers.

Engage in industry advocacy for fair AI standards.

Ignoring these steps could expose your travel program to hidden costs and lost control over data and traveler experience.

Conclusion: Travel’s AI Future Is Already Here

AI assistants are not the future—they’re the present shift in travel distribution.

The balance of power between OTAs, TMCs, hotels, and corporate buyers is being rewritten by algorithms that decide who gets seen and booked.

For travel managers, the challenge is clear:

Adopt, govern, and lead — before AI platforms redefine your travel policy for you.

The time to prepare isn’t next year — it’s before your travelers start saying, “Hey ChatGPT, book my next trip.”

References

PhocusWire: AI’s New Gatekeepers: walking a tightrope. Unlike individual business travel, where bookings are straightforward, PCTT involves groups of 10–30 people, often traveling for 4–10 weeks or longer, staying in hotels or serviced apartments.

These bookings come with an added layer of complexity: tight budgets, dynamic timelines, and constant change management. Since accommodation is one of the substantial project cost components, even minor inefficiencies can spiral into serious budget overruns.

The Global Business Travel Association (GBTA) rightly identifies “the booking challenge” as one of the four critical hurdles for PCTT. Let’s unpack why booking for PCTT is so challenging and how travel managers can address these issues.

Key Challenges in PCTT Bookings

Managing PCTT bookings is not just about finding rooms; it’s about managing a dynamic and often unpredictable process. Here are the primary challenges:

1. Offline, Group Booking Dependency

Almost all group bookings require offline coordination through travel agents or coordinators. Unlike individual travel, where booking tools provide efficiency and speed, PCTT relies heavily on manual processes. The lack of automation in this space increases the chances of errors and delays.

2. Unconfirmed Start Dates

Project start dates are often confirmed at the last moment. This leads to frequent cancellations, rebookings, and penalties. Moreover, finalizing the names of team members traveling to the site often happens just days before departure, further complicating matters.

3. Dynamic Pricing Woes

Dynamic pricing is a boon for hotels but a bane for PCTT budgets. Frequent booking dates and duration changes mean corporations often face fluctuating rates, affecting overall project profitability.

4. Frequent Changes

Projects are inherently dynamic. Team members may be replaced, schedules adjusted, or individuals might not show up at all. These changes result in name changes, date swaps, and even double bookings, which create logistical headaches and financial losses.

5. Lost Room Nights

When schedules shift, booked rooms often go unused but remain paid for. These “lost room nights” are a hidden drain on budgets, mainly when cancellations or adjustments are not processed in time.

6. Double Bookings

Team members working on multiple projects across different locations can have overlapping reservations. This leads to no-shows and cancellation penalties, further complicating cost tracking.

7. Twin Sharing and Partial Occupancy

To control costs, many companies opt for twin-sharing arrangements. However, rooms often remain partially occupied when one roommate joins or leaves at a different time. This adds unnecessary costs and creates cost reconciliation challenges.

The Cost Implications of Poor Change Management

These challenges don’t just complicate operations; they have significant financial consequences. Here are some key cost implications:

1. Unused Room Nights

Corporations frequently pay for unoccupied rooms due to last-minute changes or poor cancellation practices. These wasted room nights inflate project costs unnecessarily.

2. Cancellation Penalties

Hotels charge penalties for last-minute cancellations or changes to booking durations. These penalties are often equivalent to additional room nights.

3. Early Check-Out Penalties

Hotels base room rates for extended stays on the total duration. If a project ends earlier than planned, hotels often apply higher rates retroactively, significantly increasing costs.

4. Dynamic Rate Adjustments

Extensions and modifications are typically made at the last minute when rates are higher. This drives up costs compared to the original negotiated rate.

5. Misleading Average Daily Rate (ADR)

Most organizations calculate ADR as follows:

ADR = Total Paid Room Costs ÷ Total Paid Room Nights

However, this doesn’t account for unused paid room nights. A more accurate metric is:

Real ADR = Total Paid Room Costs ÷ (Paid Room Nights – Unused Room Nights)

This discrepancy often hides the actual cost of inefficiencies, making it harder to identify areas for improvement.

The Importance of Real ADR

Most organizations avoid reporting unused room nights because it highlights inefficiencies in change management. However, tracking Real ADR can uncover hidden cost drivers and allow travel managers to address them proactively. Here’s why this matters:

Transparency: The difference between Real ADR and Paid ADR gives a precise measure of the efficiency of change management

Accountability: Tracking unused room nights exposes areas where change management processes need improvement.

Actionable Insights: Identifying patterns in unused room nights can help teams implement strategies to reduce waste and control costs.

How Travel Managers Can Take Control

To navigate the challenges of PCTT bookings, travel managers must take a proactive approach. Here are some strategies:

1. Track Real ADR and Unused Room Nights

Travel managers can identify inefficiencies by calculating Real ADR, tracking unused room nights, and providing actionable data to project teams.

2. Collaborate with Project Teams

Travel managers should work closely with project leaders to minimize last-minute changes and cancellations. Establishing clear communication channels can help reduce errors and improve planning.

3. Leverage Technology

While PCTT bookings often rely on offline processes, emerging technologies like AI-driven booking tools and real-time change management platforms can improve efficiency. Automation can reduce manual errors and streamline complex booking processes.

4. Evaluate Vendors

Partnering with reliable vendors specializing in PCTT bookings can make a significant difference. Assess vendors based on their ability to handle changes, manage dynamic pricing, and minimize financial leakage.

5. Establish KPIs for Change Management

Incorporate metrics like unused room nights, Real ADR, and cancellation penalties into performance reviews. These KPIs can drive accountability and continuous improvement.

The Path Forward

Project, Crew, and Team Travel is a complex domain with unique challenges that demand tailored solutions. Travel managers can significantly reduce costs and improve efficiency by understanding the key issues—from unconfirmed start dates to lost room nights—and implementing proactive strategies.

The next step? You can start tracking Real ADR and unused room nights as part of your reporting process. You might be surprised at the insights you uncover—and the cost savings you achieve.

What’s your experience with managing PCTT bookings? These projects directly impact revenue, making efficient and cost-effective travel arrangements essential to maintaining profitability and productivity.

The recently concluded GBTA Project, Crew, and Team Travel Summit identified "Sourcing Under Pressure" as a significant challenge for project travel.

In WWstay, we have organized project accommodations for more than 500+ clients for the last 10+ years.

The typical project travel involves accommodating 10–30 people for extended durations (3 weeks to 6 months); the cost of accommodations becomes a substantial portion of the project budget. Mismanagement in this area can lead to higher expenses, dissatisfied teams, and reduced project margins.

Key Challenges in Sourcing Project Accommodation

1. Limited Lead Time for Booking

Clients may provide little notice before initiating a project, leaving limited time to plan and secure suitable accommodations.

2. High Demand During Major Events

Events like sports tournaments, music festivals, and conventions can cause sudden surges in demand, reducing the availability of quality options and driving up prices.

3. Dynamic Pricing Models

Hotels frequently adjust rates based on demand, making it challenging to stick to budgets and maintain project profitability.

4. Quality vs. Cost Trade-Offs

When demand outstrips supply, finding accommodations that meet quality expectations within budget becomes difficult.

For example, cost pressures often force organizations to book accommodations far from the project locations, leading to higher transportation costs and loss of productive hours.

Common Strategies and Their Limitations

• Signing Static Rates with Hotels

Static rates provide predictability, but they're increasingly difficult to secure due to market volatility and the evolving nature of the hospitality industry.

• Blocking Rooms in Advance

This strategy works well for organizations with strategic relationships with hotels. However, smaller project companies often need more repeat volume in specific locations.

A Smarter Solution: Partnering with Expert Accommodation Agencies

Partnering with specialized accommodation agencies offers a practical and scalable solution to these challenges. These agencies, serving multiple clients, can aggregate volumes and maintain long-term relationships with hotel chains, giving them the leverage to negotiate better terms and flexibility. This results in stable, predictable rates in all locations, reducing the stress of last-minute bookings and ensuring cost control.

A long-term partnership with such an agency benefits both parties. With assured business from clients, agencies can take calculated risks to offer stable pricing and flexible booking terms. This approach addresses the immediate challenges of managing project travel and creates a cost-efficient, scalable travel ecosystem for future projects.

By combining proactive planning, expert partnerships, and strategic solutions, organizations can transform how organizations manage travel for mission-critical projects. This approach ensures efficiency, cost control, and a better traveler experience, giving you the peace of mind that comes with being in control of your project's travel arrangements.

What do you think? Beneath the surface of “cost-effective” arrangements lie hidden expenses that can quietly drain your budget and create logistical headaches. Let’s unpack these hidden costs—and, more importantly, how to address them.

1. Unused Room Nights

Rotational schedules or last-minute changes often leave rooms unoccupied while the company continues to pay for them. For large teams, this can add up quickly.

2. Overbooking & Cancellation Penalties

Rigid cancellation policies can lead to hefty penalties for last-minute changes—an all-too-common scenario in contractor housing.

3. Partial Occupancy in Shared Housing

Shared accommodations sound great on paper. But when rooms or beds go unused, the cost-saving benefits disappear.

4. Double-Booking Rooms

Without real-time tracking, double bookings—whether for the same person or multiple people—are more common than you’d think. And they cost money.

5. Last-Minute Relocations

Unexpected relocations or project shifts often mean booking last-minute, rarely budget-friendly.

6. Fluctuating Market Rates

Local events and seasonal demand can drive up accommodation costs significantly, especially without fixed-price agreements.

7. Poor Occupancy Planning

Mismanaged check-ins and check-outs often leave rooms empty but paid for, burning through budgets.

8. Long Commutes

Housing far from worksites means higher transportation costs, often leading to low morale and productivity.

9. Extended Stays Beyond Initial Bookings

Delays happen. But extending bookings often comes at a premium, especially in high-demand areas.

10. Poor-Quality Accommodations

Cutting corners on housing can lead to dissatisfied contractors, higher turnover, and a productivity dip.

11. Maintenance & Repairs

Unexpected maintenance or repair costs—like plumbing issues or appliance breakdowns—can creep in, especially for long-term rentals.

12. Utilities & Incidentals

If not included in the housing arrangement, electricity, internet, water, parking, cleaning, and even laundry costs can quickly add up.

13. Meal Costs in Remote Locations

Meal costs can skyrocket in isolated areas with limited dining options, another hidden expense for companies footing the bill.

14. Administrative Overhead

Tracking expenses, adjusting schedules, and reconciling payments for multiple contractors takes time—and time is money.

15. Lack of Centralized Payment Systems

Managing multiple payments for various accommodations can lead to inefficiencies, errors, and frustration.

Why These Costs Matter

Although these costs might seem small individually, they can cause significant budget overruns and operational stress. Overlooking these expenses can lead to wasted resources, increased project costs, and unhappy contractors, leading to potential project delays and decreased productivity.

How to Avoid These Hidden Costs

The good news? These challenges are solvable with the right strategies:

• Flexible Booking Policies: Opt for accommodations that allow changes without penalties.

• Real-Time Tracking: Use tech to monitor occupancy and avoid errors like double bookings.

• Centralized Payment Solutions: Streamline payments to reduce administrative burden.

• Strategic Planning: Choose housing near worksites to minimize commutes and improve contractor satisfaction.

• Efficient Change Management: Promptly communicate schedule shifts to suppliers and minimize penalties.

Use the Right Partner: Arranging project accommodation for Crew and team travel can be tricky and requires particular expertise. A competent, experienced housing partner can save time, reduce stress, and ensure a better experience for your contractors.

Your Housing Partner in Managing Project Crew and Team Travel

At WWStay, we specialize in identifying and eliminating hidden costs for contractor housing. Two years after ChatGPT’s launch, it’s clear that this technology holds transformative potential. Yet, its adoption in the travel sector has been slower than expected, raising the question: is the industry keeping up with evolving traveler expectations?

Challenges in Adoption

One of the biggest hurdles for Gen AI in travel is the pace of adoption. While major corporations and startups experiment with AI tools like personalized trip planning, many implementations have yet to deliver meaningful impact. Companies are cautious, balancing the promise of innovation with the risks that come with unproven technologies. Additionally, outdated data and legacy systems present significant challenges to fully integrating AI into operations.

The Exciting Potential of Gen AI

Despite these obstacles, there’s a growing excitement around the possibilities. AI-driven concierge services, Expedia’s personalized search tools, and operational AI in hotels demonstrate how this technology can enhance guest experiences. These innovations can streamline trip planning, anticipate traveler needs, and improve behind-the-scenes operations. However, realizing this potential requires companies to overcome structural and cultural barriers.

Hesitation Across the Industry

At the recent Phocuswright Conference 2024, industry leaders expressed mixed feelings about AI’s progress in travel. Some highlighted success stories, while others pointed to the slow pace of adoption. A recurring theme was the lack of urgency among travel companies, especially when compared to sectors like healthcare and retail, which have embraced AI to deliver personalized experiences at scale.

The hesitation is understandable—travel is inherently human-centric, and AI adoption must be handled thoughtfully to preserve trust and authenticity. However, caution should not prevent bold action. As Melissa Maher of Pinnacle Enterprises Group said, “The industry needs to stop playing defense and start innovating offense.”

Steps Toward Transformation

To unlock the full potential of generative AI, the travel industry must shift its approach:

Embrace Bold Innovation: Companies should move beyond incremental improvements and take transformative steps to redefine customer experiences.

Learn from Other Industries: By examining how sectors like retail and healthcare have implemented AI, travel companies can adopt proven strategies for personalization and efficiency.

Focus on Targeted Use Cases: Prioritizing dynamic pricing, customized itineraries, and predictive guest services can yield immediate benefits.

Invest in Employee Training. A tech-savvy workforce is essential for effectively using AI tools and driving innovation from within.

The Path Forward

The travel industry is at a pivotal moment. Generative AI offers the chance to revolutionize customer experiences and streamline operations. However, companies must act decisively to seize this opportunity. By fostering a culture of innovation and collaboration, the travel sector can align its goals with the rapid pace of technological advancement.

The future of travel is bright for those willing to embrace change. Generative AI is not just a tool; it’s a game-changer that can redefine the industry. The time to act is now, and the rewards of bold innovation are within reach. Will the travel sector rise to the challenge, or will it continue to lag behind traveler expectations? The answer lies in the decisions made today.

References

PhocusWright (n.d.). TWO YEARS AFTER CHATGPT'S LAUNCH, IS THE TRAVEL INDUSTRY MOVING FAST ENOUGH WITH are increasingly adopting the Merchant of Record (MoR) payment model. This shift changes how agencies handle payments, optimize operations, and enhance customer experience. As a corporate travel manager, understanding these changes can help you navigate and negotiate better travel solutions.

Here's why the MoR model matters—and what challenges and opportunities it brings to corporate travel management. It's a shift that empowers you, the corporate travel manager, to take more control and make more strategic decisions in your role.

What Is the MoR Model?

Traditionally, agencies have adopted a pass-through payment model for collecting payments for bookings made to corporate travel. In the pass-through model, OTAs/Agencies act as middlemen. Payments are made directly to suppliers (e.g., hotels or airlines), with the supplier acting as the Merchant of Record, controlling funds. Agencies collect commissions from suppliers for the booking.

With the MoR model, the agencies take complete control of payment processing. They charge customers directly through their payment gateways or otherwise, manage the flow of funds, and pay suppliers. This process enables them to oversee the entire transaction, improving service and operational efficiency.

Advantages for Corporate Travel Managers

1. Enhanced Financial Insights and Reconciliation

The MoR model enables OTAs to provide corporate travel managers with:

Payment safety and security since all payments are made to an agency, not multiple suppliers. This process avoids credit card fraud or misuse.

Detailed, customized expense reports tailored to your organizational needs.

Streamlined reconciliation processes, offering clarity and accuracy in financial records.

Real-time insights into travel spending, allowing for better budget control and strategic planning.

These features make it easier for corporate travel managers to track and manage travel expenses, ensuring alignment with company policies. The MoR model may necessitate some adjustments to existing policies, but it also offers the opportunity to enhance policy compliance and control over travel expenses.

2. Improving Traveler Experience

The MoR model allows OTAs to handle directly:

Refunds and cancellations, making them faster and hassle-free.

Flexible payment options like installment plans may suit employee preferences or align with cash flow policies.

Seamless handling of itinerary changes without involving suppliers, saving time and reducing frustration.

This efficiency level helps travel managers ensure smoother employee journeys and greater satisfaction.

The MoR model significantly improves the customer experience, making your job as a corporate travel manager productive and more satisfying.

3. Cost-Saving Opportunities

The use of virtual cards in the MoR model brings additional benefits for agencies, including:

Cash rebates on supplier payments can translate into savings that OTAs may pass on to clients.

Increased security by reducing fraud risks during payments.

Further, Agencies can provide additional discounts as they receive net rates from suppliers and apply markup before selling to corporations.

These advantages and improved operational control make OTAs with MoR capabilities strong partners for corporate travel programs.

The Challenge: Additional Costs

While the MoR model brings significant advantages, it has challenges.

One notable issue is the additional costs agencies incur when processing customer payments. Unlike the pass-through model, where customers pay suppliers directly, OTAs, as MoR, must bear processing fees.

For corporate travel managers, this could translate to:

Increased booking fees, as OTAs may pass on these costs.

Resistance from travelers, who might need help understanding why specific fees are higher when booking through an OTA than directly with a supplier. In some cases, reward points may be affected as the agency might have negotiated a discounted rate impacting reward point eligibility.

To mitigate this, corporate travel managers must:

• Negotiate fee structures with OTAs, ensuring transparency and value for money.

• Consider the long-term benefits of streamlined processes, better reporting, and superior customer service that the MoR model enables.

Why It Matters to You

By leveraging the MoR model, OTAs can act as strategic partners for corporate travel programs, offering:

• Accurate and efficient financial reconciliation, saving time and reducing errors.

• Customizable reports that provide insights into travel trends and help optimize budgets.

• Enhanced service levels, including faster refunds, flexible payment options, and improved booking experiences.

While the additional costs associated with the MoR model may require negotiation and adjustment, the overall benefits make it a compelling choice for organizations aiming to elevate their travel management processes.

Our Take

We at WWstay have successfully used the MoR model for over ten years to provide corporations with accommodation booking and payment solutions.

It has helped corporates get timely, detailed, real-time reports, better prices, and quick refunds for cancellations.

It has also helped corporations use WWstay to service their junior employees and contract (Non-profile) workers who do not have corporate credit cards. In such cases, Wwstay, being MoR, could pay for these employees, including incidentals in some cases, through its virtual card program and provide reconciliation.

The MoR model is a win-win for both agencies and corporations. The benefits are more than the small additional cost, if any.

As a corporate travel manager, are you working with Agencies that are adopting the MoR model? If not, exploring how they can streamline your operations and enhance your travelers' experiences is worth exploring. Let's discuss how the right partner can transform your travel program.

#CorporateTravel #MerchantOfRecord #TravelManagement #OTAs #VirtualCards #ExpenseReconciliation

References

McKinsey and Skift Research (n.d.). The Evolving Role of Experiences in Travel September 24. expertise, temporary projects, or seasonal demand.

In this article, we’ll uncover 21 challenges that contract employees and their employers face in managing travel and housing, highlighting the complexities of contractor logistics, why these issues demand attention, and the solution that WWStay offers.

1. Limited Access to Corporate Travel Perks - Unlike full-time employees, contract workers often miss out on perks like frequent flyer programs, preferred seating, or hotel loyalty benefits. This can make their travel experience more stressful and less rewarding.

2. Tight Budgets for Housing - Companies often have strict budgets for contractor housing. This can lead to dissatisfaction and lower productivity.

3. Lack of Housing Benefits - While full-time employees might get housing allowances or corporate accommodations, contractors are not entitled to avail of such benefits.

4. Remote Locations with Limited Options - Contractors often work at remote sites where accommodation options are scarce, expensive, or both. This limits their choices and increases the burden on employers to find viable solutions.

5. Rotational Scheduling Wastage - Contractors frequently move between sites, but companies still pay for unused rooms during their absences. This leads to significant financial waste.

6. Partial Occupancy in Shared Housing - Shared accommodations are common for contractors, but managing these setups is a logistical nightmare. When some beds remain empty, the cost savings of shared housing disappear.

7. Poor Quality of Accommodations - Budget constraints often mean contractors are housed in poor-quality facilities that lack certain amenities, affecting morale.

8. Last-Minute Housing Changes - Project delays or sudden workforce shifts can lead to last-minute cancellations or booking changes, often resulting in penalties or increased costs for the company.

9. Complex Reimbursement Processes - Many contractors have to pay for travel and housing out of pocket, with cumbersome reimbursement processes adding unnecessary stress and delays in getting their money back.

10. Limited Meal Options - Remote sites often lack meal options, leaving contractors to spend extra money or rely on unhealthy fast food, which impacts their health and performance.

11. Poorly Communicated Policies - Unclear policies around travel allowances, housing arrangements, and shared accommodations often lead to confusion and dissatisfaction among contractors.

12. High Administrative Burden - Managing travel and accommodation for a large group of contractors involves significant administrative work, which can overwhelm teams and lead to costly errors.

13. Unforeseen Costs - Extra charges for unused rooms, extended stays, or emergency relocations can quickly escalate beyond the planned budget, catching companies off guard.

14. Lack of Consistency Across Projects - Different projects often have inconsistent policies for contractor travel and housing, leading to confusion and dissatisfaction.

15. Shared Room Conflicts - Contractors placed in shared accommodations often face issues like conflicting schedules, which affect their overall experience.

16. Inadequate Access to Transportation - Remote locations often lack reliable transportation options, forcing contractors to either walk long distances or rely on costly alternatives like car rentals or rideshares.

17. Long Commutes - When affordable housing isn’t available near worksites, contractors face long and exhausting commutes that reduce their productivity and work satisfaction.

18. Overbooked Accommodations - In busy areas, companies may struggle to secure enough rooms, forcing contractors to share cramped spaces or relocate frequently.

19. No Standard for Incidentals - Unclear policies on who pays for incidentals like laundry, internet, or parking lead to disputes and frustration between contractors and employers.

20. From search and booking engines to travelers' personalized needs, GenAI is reshaping the industry at every stage. This transformation promises increased personalization, convenience, and more intelligent decision-making while challenging traditional booking platforms to adapt and innovate.

The Transformative Capabilities of Gen AI

GenAI brings transformative capabilities to the travel industry by enabling hyper-personalization, intuitive search, and real-time support. Unlike earlier technologies, GenAI can understand nuanced language, deliver personalized recommendations, and adjust dynamically to evolving preferences. This technology does more than merely retrieve data; it interprets traveler needs, provides conversational search, and generates content in real-time, elevating the booking experience with efficiency and convenience.

Critical capabilities of GenAI include:

• Hyper-Personalized Travel Planning: GenAI tailors recommendations based on user preferences, past bookings, and travel patterns, enabling unique itineraries that match individual traveler tastes and preferences.

• Conversational Search: GenAI supports natural language queries, allowing travelers to make specific and detailed requests, reducing search friction, and creating a more intuitive booking process.

• Enhanced Customer Support: GenAI-powered chatbots provide round-the-clock assistance, answering questions, assisting with booking changes, and addressing issues instantly.

• Content Creation and Curation: GenAI produces high-quality travel content, from detailed guides to customized itineraries, inspiring travelers and enriching the information available on booking platforms.

These capabilities are reshaping the landscape for booking engines, end-users, and the broader travel industry.

The Impact of Gen AI on Traditional Booking Engines

Booking engines such as Expedia and Booking.com are at the forefront of integrating GenAI to enhance their platforms. However, the advent of GenAI also presents challenges, requiring these platforms to adapt to new expectations for personalization and seamless interaction.

1. Enhanced Personalization and Recommendations: GenAI enables hyper-personalized recommendations, reducing the need for traditional filters. Booking engines are evolving their algorithms to match users with the most relevant options based on rich data insights, making selecting flights, hotels, and experiences faster and more accurate.

2. Conversational Interfaces and AI-Powered Search: GenAI's translational search capabilities allow users to book through text or voice interactions. This shift requires booking engines to adapt their interfaces to support natural language, making it easier for users to describe complex preferences without detailed filtering. Booking engines increasingly incorporate AI chatbots to offer immediate, real-time responses, especially for routine inquiries or booking changes.

3. Content Generation and Discovery: GenAI-driven content creation allows platforms to produce custom itineraries, real-time destination updates, and curated experiences. Booking platforms like Expedia can leverage GenAI to generate content that resonates with users, catering to the inspiration and information phases of travel planning.

4. Real-Time Dynamic Pricing and Inventory Management: Booking engines can use GenAI to offer real-time price adjustments based on availability, demand, and traveler behavior. By dynamically adapting prices and managing inventory, platforms can align their offerings with current market conditions, maximizing value for travelers and providers.

5. Brand Loyalty and Exclusive Experiences: As AI-driven search models like Google Gemini or ChatGPT Search begin to offer booking capabilities, traditional booking engines risk losing organic traffic. To mitigate this, platforms focus on exclusive offers and loyalty programs that create added value and ensure users return to their sites rather than diverting to GenAI-driven search engines.

These adaptations highlight the balancing act that booking engines face. By investing in GenAI-powered tools, these platforms can differentiate their offerings, maintain customer loyalty, and create a seamless experience that matches evolving user expectations.

How Gen AI Enhances the Travel Experience for End-Users

For travelers, GenAI brings convenience, speed, and personalization to every step of the journey, from initial planning to real-time assistance while traveling.

1. Personalized Travel Planning: With Personalized recommendations, travelers can discover trips uniquely tailored to their preferences, such as family-friendly resorts or adventure-packed itineraries. This level of customization reduces the need for extensive searching, making the planning phase faster and more satisfying.

2. Efficient, Conversational Search: GenAI-powered interfaces allow travelers to describe precisely what they want, such as “beach” or “hotels with kids’ activities,” rather than manually applying filters. This intuitive, conversational search makes travel planning accessible and efficient, especially for those who may be less tech-savvy.

3. 24/7 Customer Support and Assistance: AI chatbots immediately answer routine questions, assist with last-minute booking changes, and address issues like flight delays. This real-time support makes travelers feel secure, knowing help is available anytime.

4. Travel Inspiration and Discovery: GenAI's GPTsearch and Google's Gemini's capability to generate content based on real-time data inspire travelers by introducing them to off-the-beaten-path destinations, activities, or local events. Travelers can explore unique experiences they might not otherwise encounter through traditional search.

5. Enhanced Safety and Real-Time Alerts: GenAI enables real-time notifications on weather changes, health alerts, or travel restrictions. This means travelers are better informed and prepared, enhancing their safety and convenience throughout their journey.

6. Seamless Integration and Management of Bookings: GenAI helps travelers manage their entire itinerary from a single platform, streamlining flight and accommodation bookings, tour reservations, and even restaurant bookings. Travelers enjoy a cohesive, simplified experience that integrates every part of their trip.

Conclusion

Generative AI sets a new standard in the travel industry, impacting every travel phase, from booking engines to the travel experience. For booking platforms, it means adapting to remain competitive and responsive. For travelers, GenAI brings unprecedented convenience, personalization, and real-time support. For corporate travel managers, GenAI offers powerful tools to optimize travel policies, enhance safety, and elevate the experience for business travelers.

As the industry evolves, those who embrace and integrate GenAI effectively will be best positioned to meet modern travelers' expectations and create a more seamless, enjoyable travel experience.

References:

1. Mckinsey (2023, September 30). The Promise of Travel in the Age of AI. hotel booking system generates a unique, single-use virtual card number with a specific spending limit, significantly minimising unauthorised use. This approach is particularly relevant as 61% of business travellers are given a corporate credit card, highlighting the importance of secure payment methods [1][6].

Simplified Expense Management: Each virtual card transaction is directly linked to its respective booking, streamlining expense tracking and reconciliation. This is essential as businesses face challenges with inconsistent payment methods across various hotels [2].

Enhanced Security: Sensitive card details are not shared with vendors, which reduces exposure to fraud. The risk of unauthorized charges is notably higher when traditional cards are used, as they often have larger limits compared to single-use cards [2][4].

Operational Efficiency: Automated approvals and easy tracking can reduce booking and payment processes from days to hours. Companies that implement these solutions can save an estimated 40% of time in payment processing [1].

Real Impacts

As one finance manager noted, “Managing hotel expenses was an endless cycle of tracking charges and correcting errors. With WWStay’s virtual cards, payments are instant, secure, and easy to reconcile.” Another client emphasized that the platform's efficiency allows their team to focus on strategic growth rather than administrative tasks.

Challenges

Despite the advantages that single virtual cards provide, the corporate travel industry has yet to fully realise their benefits, as

Not all hotels accept virtual cards.

When a large group booking is made, hotels do not accept separate credit cards for each room under a group reservation.

These cards must always be accessed through a payment link, a wallet, or a mobile app.

Conclusion

Our single-use virtual card solution transcends mere convenience; it represents a reliable approach to corporate travel payment security. As business travel spending is set to increase by 11.1% in 2024 [1][6], WWStay is ready to embrace the opportunities that’s coming along the way.

Are you interested in experiencing the benefits of secure and streamlined payments for your business travel? enabling hyper-personalization, intuitive search, and real-time support.

Most major booking engines, such as Expedia and Booking.com, are leading in integrating GenAI to enhance their platforms.

GenAI presents many new challenges in hotel booking, requiring these platforms to redesign the hotel descriptions. Booking engines' hotel descriptions should be more compatible with Generative AI (GenAI) platforms. The explanations should be clear, structured, and rich in detail, matching the natural language queries that GenAI-powered search engines handle.

This article discusses these challenges and suggests possible solutions to them.

Redesign Hotel Content

Here’s how booking engines can redesign content to align with GenAI systems' needs, making it easier for AI to retrieve, understand, and present relevant information to travelers.

1. Use clear, structured language to describe specific features

GenAI often responds to search queries like “hotels with an ocean view and rooftop dining near downtown” or “family-friendly resorts with evening activities and kids’ pools.” Detailed, structured content helps the AI answer these requests accurately.

Solution: Break descriptions into sections like “Room Features,” “Dining Options,” “Nearby Attractions,” and “Family Amenities.”

For example:

o “Rooms offer ocean views, private balconies, and free Wi-Fi.”

o “Dining: Rooftop restaurant with city views; on-site Italian and Japanese cuisine options.”

o “Family-Friendly Amenities: Kids’ pools, game rooms, evening activity sessions.”

2. Incorporate Long-Tail Keywords and Descriptive Phrasing

GenAI platforms can better interpret nuanced, conversational searches than traditional keywords. Descriptive, long-tail keywords make it easier for AI models to pull your property in search.

Solution: Use phrases like “ideal for business travelers needing a workspace” or “perfect for couples seeking a romantic beachfront escape.” Include long-tail keywords naturally in the text and provide specific examples of what makes the property suited for particular traveler types.

3. Highlight Unique Selling Points and Experiences

GenAI models are programmed to look for critical differentiators that match users’ unique preferences.

Solution: Highlight any exclusive features that set your property apart. Instead of saying, “We have a pool,” elaborate on its uniqueness: “Our heated, saltwater pool offers underwater music and is open year-round.” Include distinctive amenities, local partnerships, or immersive experiences like virtual room tours or cooking classes with local chefs.

4. Emphasize Location-Specific Details with Context

Location is often central to GenAI-driven searches. Travelers may look for hotels near specific landmarks, transit hubs, or neighborhoods; descriptions must convey this information.

Solution: Add location-based context such as “a 5-minute walk to Central Park,” “located in the heart of the Financial District,” or “a 10-minute drive from the airport.” Mention nearby attractions, transportation options, and the type of area (e.g., “quiet residential” or “vibrant nightlife hub”) to help AI understand and surface relevant details.

5. Use Conversational, Natural Language

GenAI is trained in conversational language and responds best to natural, human-like descriptions. Avoid overly formal or technical language, which can be more challenging for GenAI to interpret smoothly.

Solution: Write in an approachable, conversational tone that feels natural. For instance, instead of saying, “Our accommodations provide state-of-the-art facilities,” say, “Enjoy modern amenities like smart TVs and complimentary high-speed Wi-Fi in every room.” Describe each feature as if speaking directly to the guest.

6. Include FAQs with Detailed Answers

FAQs help GenAI effectively answer common traveler questions, especially those related to specific needs or concerns that users may ask in natural language.

Solution: Add a dedicated FAQ section covering common questions about amenities, accessibility, nearby attractions, and policies.

For example:

o Q: “Is the pool open year-round?”

o A: “Yes, our heated rooftop pool is open all year and offers stunning city views.”

7. Focus on Visual Context and Multi-Modal Content

GenAI increasingly supports multi-modal content, meaning it can interpret text and images. Clear image descriptions can enhance the AI’s ability to understand and share visual elements in search results.

Solution: Ensure all images have detailed alt-text descriptions.

For example, for the image of a hotel room, use “King suite with city skyline views, featuring a private balcony, seating area, and modern decor.”

This helps AI grasp visual details, which can be valuable when travelers look for specific room layouts or aesthetic features.

8. Regular Updates and Real-Time Information

Need: GenAI platforms prioritize fresh and relevant information, as real-time accuracy is crucial for search results in a fast-changing industry like travel.

Solution: Update descriptions regularly to reflect seasonal changes, special events, or newly added features. Include dynamic elements such as weather-based recommendations (e.g., “Cozy fireplaces are ideal for winter stays”) and seasonal experiences to keep content fresh and responsive to user needs.

9. Transparency on Policies and Extra Fees

Users often have specific questions about policies like cancellation, check-in times, and additional fees. Precise information on these topics prevents friction in the booking process and builds trust.

Solution: Use clear, direct language to make policy details easy to find. For instance, “Free cancellation is available up to 24 hours before check-in,” or “Resort fee includes access to all on-site pools, fitness center, and Wi-Fi.” This will help travelers feel informed and supported in their decisions.

10. Focus on Accessibility and Inclusivity Details

Many travelers search for accommodations that cater to specific accessibility needs.

Solution: Provide detailed accessibility information, such as “wheelchair-accessible rooms and bathrooms, elevators to all floors, and service-animal-friendly policies.” Add language options, family-friendly amenities, or additional support services catering to travelers' needs.

Example of a Redesigned Hotel Description

Before:

“Welcome to Downtown Hotel, located in the heart of the city. We offer comfortable rooms, a rooftop pool, and an on-site restaurant.”

After:

“Stay at Downtown Hotel, perfectly located just a 5-minute walk from Central Park and steps away from subway access to all of Manhattan. Choose from spacious rooms, each featuring city views, smart TVs, and high-speed Wi-Fi. Enjoy a year-round rooftop pool with breathtaking skyline views, open daily from 7 AM to 10 PM, and our award-winning Italian restaurant offers room service until midnight. Ideal for families and business travelers alike, Downtown Hotel also provides family suites, in-room workspaces, and a pet-friendly policy. Book with confidence: free cancellation up to 24 hours before check-in!”

Conclusion

By optimizing content for GenAI platforms, booking engines can improve their visibility in GenAI-driven search results. This ensures travelers find detailed, relevant, and enticing information that aligns with their preferences and search habits. This approach enhances the booking experience and builds brand loyalty in an increasingly competitive, AI-powered landscape.

GenAI offers unprecedented convenience, personalization, and real-time support for travelers. For booking platforms, it means adapting to remain competitive and responsive.

While GenAI is transforming travel booking, it also has a few limitations. These include Accuracy and Real-Time Information, Data Privacy and Security, Bias and Limited Diversity, etc.

Travel managers should know these limitations and discuss them with their travel vendors during implementation. They should also stay up-to-date with the solutions the industry offers.

The industry is adopting a hybrid approach, blending GenAI's automation with human oversight to deliver a secure, accurate, and responsive booking experience.

As the industry evolves, those who embrace and integrate GenAI effectively will be best positioned to meet modern travelers' expectations and create a more seamless, enjoyable travel experience.

References:

1. Mckinsey (2023, September 30). The Promise of Travel in the Age of AI. during Cyber Week.

Amazon, which previously struggled in the travel sector, found some success in July this year with Prime Day Travel Deals, which featured a few top brands. Now, many more brands are partnering with Amazon during Cyber Week.

It looks like Amazon is taking Travel seriously. Can they go deep and create an online travel experience? Travel is complex and super perishable, and its inventory cannot be managed in modern warehouses!!

While some speculate Amazon could become a significant player in the travel market, others say it might focus more on expanding marketplace offerings than directly competing with traditional travel sites.

My Take:
Amazon has a large consumer base that also buys travel products like Airlines or Holidays. The company already sells other associated travel products, like luggage and holiday gear, on its platform. It understands consumer buying behavior well and can predict travel needs. It may remain focused on the marketplace, letting traditional travel players handle fulfillment while using its consumer proximity and understanding to cross-sell.

This shift could potentially reshape the industry, as anyone closer to the customer has the most power in the buying chain. Only time will tell the full impact of Amazon's foray into Travel.

One thing is sure: in this evolving landscape, the buyer stands to gain the most!!
